Full Job Description
Position Overview:
We are looking for a highly organized and detail-oriented Logistics Administrator to act as the key link between the Distribution Centre (DC) and retail stores. This role ensures that all inquiries, requests, and logistics processes are resolved and executed promptly in line with company Standard Operating Procedures (SOPs).
Key Responsibilities:
- Serve as the main point of contact between the DC and stores, ensuring swift resolution of inquiries in alignment with SOPs
- Promote and uphold Pedros People values and leadership principles across teams and new hires
- Collect invoices from the Accounts Department and reconcile them against delivery schedules and B2B (Business-to-Business) lists
- Oversee Nightshift operations, including managing batch pick slips and double-checking accuracy
- Handle trip planning: generate trip sheets, allocate seals, batch driver packs, and verify invoice packs for stamps, signatures, and lug information
- Cross-check trip sheets and reconcile prior day invoices with the Invoice Handover Sheet
- Accurately capture customer orders/B2Bs on the sales order report and ensure timely submission
- Monitor store WhatsApp groups for DC-related queries and escalate as needed to provide accurate feedback
- Provide real-time updates, including vehicle ETAs and poultry claim feedback
- Document and escalate special requests, track seal photos, and record empty lug counts
- Step into supervisory or debriefing roles when required
- Maintain key data capture tools such as the Claim Tracker, Poultry Shortages Document, and A/O & E/O updates
- Perform general administrative duties, including document filing, creating ad-hoc trip sheets, and supporting non-standard tasks
- Ensure timely and effective communication by updating ETAs and delivery delays on WhatsApp groups
- Coordinate logistics activities including shipment tracking and preparation of shipping documents
- Analyze logistics data to identify trends and recommend efficiency improvements
- Collaborate with other departments to support supply chain operations
- Maintain and implement logistics software and systems
- Schedule truck repairs and monitor driver trips and vehicle assistants
Minimum Requirements:
- Matric (Grade 12)
- Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or a related discipline
- Proven experience in a similar logistics or distribution center administrative role
- Solid understanding of logistics and supply chain processes including transportation, inventory, and order fulfillment
- Proficiency in logistics and inventory software, as well as Microsoft Office Suite
- Strong organizational, communication, and time-management skills
