Introduction
Online Intelligence (Pty) Ltd is a leading provider of Enterprise Risk Solutions (ERS) across the African continent, recognized for its globally competitive offerings. We are currently seeking a Business Development Administrator to support the Head of Department (HOD): Business Development & Client Relations, based at our Head Office in Pretoria.
The primary purpose of this role is to enhance the productivity of the HOD by efficiently managing daily operational tasks, coordination, and departmental responsibilities. The Business Development Administrator will also support the broader Business Development & Client Relations team as directed by the HOD.
Key Duties and Responsibilities
Departmental Support
- Manage the HOD’s calendar and coordinate appointments.
- Arrange and confirm meetings.
- Prepare boardrooms and meeting spaces.
- Compile and organize meeting materials and packs.
- Follow up on action items and meeting deliverables.
- Maintain clear communication with clients, partners, and internal teams.
- Ensure meeting spaces and offices are tidy and ready for use.
- Keep Business Link, OI CiiMS, and internal records accurate and up to date.
- Execute additional administrative tasks as required.
Business Development Support
- Track and follow up on contracts and agreements.
- Handle vendor registration and update processes.
- Maintain the sales pipeline and related administrative folders.
- Keep client profiles and Business Link tickets updated.
- Assist in drafting and following up on proposals and quotations.
- Conduct market research as requested.
- Provide support with tender and bid submissions.
- Assist in the coordination of conferences and expos.
- Prepare claims and reimbursement documentation.
Minimum Requirements
- South African citizen.
- Grade 12 (Matric) certificate.
- Prior experience as a Personal or Executive Assistant is an advantage.
- Strong proficiency in Microsoft Word, Excel, PowerPoint, Outlook, Teams, and internet use.
- Relevant qualifications in administration or assistance are an advantage.
- Marketing and sales experience or qualifications are beneficial.
