Role Overview:

As an Administrative and Operational Support Specialist within the Customer Support Africa team, you will play a critical role in ensuring seamless day-to-day operations. This position requires a proactive and organized individual capable of handling various administrative duties, facilitating internal and external communications, and contributing to special projects and performance reporting.


Key Responsibilities

Administrative & Operational Support:

  • Provide administrative assistance to the Customer Support Africa team, including managing calendars, preparing documents, scheduling meetings, and handling correspondence.
  • Maintain accurate and compliant records related to Health & Safety, visitor protocols, and auditable quality processes.
  • Coordinate travel arrangements for the team, including handling visa processes.
  • Process invoices and expense claims related to travel, training, events, and supplies.
  • Offer administrative backup to other departments during peak periods or unforeseen circumstances.

Internal & External Communication:

  • Promote effective communication within the team and across key departments such as Security, HR, Finance, and Facilities Management.
  • Prepare and circulate internal updates regarding Airbus events and key briefings, along with intelligence relevant to the Customer Support Africa mission.
  • Coordinate with external clients and partners for event or training logistics.
  • Collaborate with the Communications department to ensure professional and aligned messaging to all stakeholders.

Event Management & Special Projects:

  • Plan and execute training sessions and seminars for customers and partners, including handling logistics, materials, scheduling, and attendance.
  • Organize internal team events such as meetings, recognition functions, and feedback sessions to support engagement and continuous development.
  • Assist with team onboarding, as well as workshops related to Health & Safety or Ethics & Compliance.
  • Support the coordination of special initiatives like customer satisfaction programs, complaint management, or digitization efforts.

Performance Monitoring & Reporting:

  • Assist in the creation and maintenance of performance dashboards tracking KPIs relevant to customer service and internal development efforts.
  • Compile data from internal systems to support decision-making and operational reporting.
  • Contribute to the preparation of performance reports, including monthly business reviews and mission updates.
