Introduction
A vacancy has become available for a Storeman within the Warehouse Department at Quality Products – Jacobs. The successful candidate will report directly to the Factory Manager and play a key role in ensuring the efficient handling, storage, and movement of materials in accordance with company policies and safety standards.
Key Responsibilities
General Warehouse Duties:
- Receive all incoming materials and accurately record them in the system
- Process supplier documentation and forward it to Head Office
- Update GRNs on the shared drive and resolve any GRN-related queries
- Maintain records of returnable materials (e.g., pallets, trays, drums) and coordinate their return
- Follow up with suppliers/customers for the return of materials and secure credit notes where applicable
- Request stock adjustments for returnable items
- Ensure materials are packed according to safety standards and GMP compliance
- Enforce FIFO (First-In, First-Out) practices consistently
- Track and issue job cards to pickers as received from the Planning Department
- Issue materials to production as per job cards and update the system accordingly
- Record the receipt of materials post-production
- Maintain forklifts in good working condition
- Inspect incoming and outgoing trucks
- Track GKN pallets and report to Head Office
- Ensure all outbound goods are accompanied by proper documentation (Delivery Notes/Invoices)
- Communicate with Head Office regarding invoicing
- File and manage all PODs and invoices, and resolve related queries
Receiving:
- Notify Quality Department upon receipt of goods for sampling
- Verify integrity of received stock against delivery notes, invoices, COAs, and purchase orders
- Record stock details on SYSPRO (e.g., batch numbers, expiry dates, quantities)
- Allocate inspected and approved stock to storage locations in SYSPRO
- Isolate rejected/expired stock in the quarantine area and coordinate appropriate disposal or return
- Inform Finance of returns and rejections via endorsed documents
Kitting:
- Accurately pick, kit, and allocate materials for weighing, dispensing, and manufacturing
- Label and segregate kitted materials to ensure traceability and prevent contamination
Dispensing/Blending:
- Dispense and blend materials according to Bill of Materials (BOM) and SOPs
- Maintain hygiene and comply with GMP standards during dispensing
- Issue materials in SYSPRO based on batch sheets
- Utilize resources efficiently to optimize productivity
Storage:
- Clearly label all stock by status (e.g., Quarantined, In-Process)
- Apply strict FIFO and rotation policies
- Handle and store all materials in accordance with GMP standards
- Participate in regular and annual stock takes
- Report any issues with stock, equipment, or work environment to the Store Manager
- Ensure no unauthorized (“rogue”) stock is present
Health & Safety Compliance:
- Immediately report or address hazardous situations
- Adhere to health and safety regulations and company policies
- Maintain a clean and organized warehouse environment following validated cleaning procedures
- Uphold and support all company policies
Other Duties:
- Ensure timely completion and flow of documentation
- Follow the Receiving Stock Procedure
- Record and track items needing refurbishment or return to suppliers
- Monitor inventory levels and follow up on stock requirements
- Participate in stock takes and cycle counts
- Perform housekeeping and cleaning tasks
- Carry out any additional duties as assigned by a Supervisor or Manager
Required Qualifications & Experience
- Grade 12 (Matric)
- Valid Driver’s License
- Basic knowledge of Excel and Microsoft Office
