Job Opportunity: Receptionist – George

We are looking for a professional and detail-oriented Receptionist to join our dynamic team. As the first point of contact for visitors and clients, you will play a vital role in ensuring a positive and efficient customer experience while supporting key administrative and operational functions.


Key Responsibilities

Reception & Communication Duties:

  • Answer, direct, and respond to incoming telephone calls promptly and professionally.
  • Take and relay messages accurately and efficiently.
  • Welcome visitors and assist with queries or requests.
  • Liaise with Telkom/Alcatel for telephony maintenance needs.
  • Source and make outgoing calls as required.

Front Office Management:

  • Maintain a clean, presentable reception area.
  • Receive and distribute parcels and correspondence.
  • Supervise client collections and manage visitor logs.
  • Offer information and direct visitors accordingly.

Client Support:

  • Conduct customer service surveys.
  • Generate and send freight quotations.
  • Resolve freight-related queries through waybill and discrepancy checks.
  • Reconcile customer statements with distribution records.

Operational Support:

  • Issue and manage driver stationery.
  • Administer discrepancy reports and update master records.
  • Monitor and verify outstanding PODs and assist with delivery reports.
  • Support delivery/collection processes, liaising with clients as needed.

Administrative Tasks:

  • Capture and verify waybill data using Freightware.
  • Process PODs and report discrepancies.
  • Handle COD (Cash on Delivery) banking and daily deposit reports.
  • Maintain stationery and fuel slip records, and complete monthly reconciliations.
  • Assist with general filing and invoice copying.

Requirements

Minimum Qualifications & Experience:

  • Grade 12 (Matric)
  • 1–2 years of experience in reception or clerical roles

Technical Skills:

  • Proficiency in MS Word, Excel, and Outlook
  • Familiarity with Freightware or similar systems
  • Basic understanding of warehousing procedures

Communication Skills:

  • Fluent in English and Afrikaans (verbal and written)
  • Effective communication across all levels
  • Strong listening and interpersonal skills

  • Able to work under pressure and independently
  • Courteous and presentable at all times

Additional Requirements:

  • Willingness to work overtime when needed
  • Reliable personal transport

Working Hours:

  • Monday to Friday: 07:00 – 17:00
  • Overtime as required
