Purpose of the Role
To manage an effective central registry system that supports the workflow of correspondence, council agendas, and minutes, including the storage and retrieval of records for the City. This must comply with the National Archives and Records Service Act of 1996, the eThekwini Records Management Policy, and the Records and Registry Procedures Manual.
Key Responsibilities
- Maintain council committee agendas, reports, and minutes.
- Perform centralized registry functions.
- Operate the franking machine for outgoing mail, ensuring secure use via PIN protection in line with budget control.
- Handle general administrative duties.
- Coordinate registry staff meetings, including preparing agendas and recording minutes.
- Prepare council correspondence for scanning, profiling, and indexing on SharePoint.
- Archive correspondence electronically using OpenText (ERMS) upon return for filing.
- Provide support to the Supervisor and Manager with tasks related to registry operations as needed.

Minimum Requirements
- Grade 12 (NQF Level 4) or equivalent
- At least 2 years of relevant experience
