Role Purpose:
To ensure the efficient operation of the office by providing high-level administrative support to the Provincial General Manager.


Requirements:

Qualifications:

  • Matric or an equivalent NQF4 qualification (essential)
  • Additional qualifications in Office Administration, Project Management, or Secretarial Studies (preferred)

Experience:

  • Minimum of 5 years’ experience supporting an executive, with responsibility for managing events and projects (essential)
  • Exposure to the insurance industry (advantageous)
  • Experience supporting a manager or team (advantageous)
  • Familiarity with relevant business systems (preferred)
  • Proficient in Microsoft Office
  • Budget management experience

Duties & Responsibilities:

Internal Processes:

  • Proactively manage and coordinate the Provincial General Manager’s calendar.
  • Organize all aspects of meetings, workshops, and events—including venue booking, catering, and logistics—within budget.
  • Provide administrative support for meetings by preparing and distributing agendas, presentations, and minutes within agreed timelines.
  • Manage travel arrangements following business processes and budget guidelines.
  • Handle incoming calls and correspondence, responding independently where appropriate.
  • Manage office supplies and refreshments, ensuring availability within budget constraints.
  • Maintain organized, accessible filing systems (both physical and electronic).
  • Prepare and verify invoices and ensure timely payment processing.
  • Arrange maintenance of office equipment through relevant service providers.
  • Monitor communications on behalf of the manager and ensure timely responses.
  • Escalate and resolve office maintenance and service issues within agreed SLAs.

Client Service:

  • Provide expert advice and guidance to clients and stakeholders.
  • Build and nurture relationships with both internal and external clients.
  • Deliver services according to set agreements to manage and meet client expectations.
  • Recommend improvements for client service and promote the fair treatment of clients.

People:

  • Contribute to a collaborative and feedback-driven culture.
  • Foster positive working relationships with peers and stakeholders.
  • Support and participate in change management initiatives.
