Role Overview
You will provide high-level administrative and secretarial support to Senior Management Team (SMT) members, ensuring efficient, effective, and timely support to the Finance Department. You’ll play a crucial role in keeping the department organized and contributing to smooth operations through strategic support and proactive coordination.
Key Responsibilities
- Manage complex calendars and schedules, including internal/external meetings, events, and conference calls
- Handle incoming and outgoing correspondence, including mail, calls, and emails, ensuring prompt and professional responses
- Monitor and manage SMT task items to meet deadlines
- Draft and type correspondence and maintain confidentiality of sensitive communication
- Create and edit reports, presentations, and other documents
- Perform general administrative tasks such as record-keeping, expense reporting, time tracking, photocopying, and filing
- Track and follow up on pending tasks from various departments
- Support the SMT in departmental coordination to meet objectives and deliver quality service
- Maintain confidential departmental records and reports
- Assist with ad-hoc and urgent tasks from internal stakeholders
- Log, track, and file BCA (Business Case Approvals), manage CAPEX utilization spreadsheets, and prepare quarterly CAPEX schedules
- Compile financial and customer accounting reports as required (daily, weekly, monthly)
- Coordinate local travel arrangements and assist with travel account authorizations
- Perform additional duties as requested by SMT members
Minimum Requirements
Education & Experience
- National Diploma, Degree, or relevant Executive Secretarial/Administrative Qualification
- Minimum 5 years’ experience in a senior secretarial or administrative support role
- Proficiency in English (intermediate level or higher preferred)
- Strong computer literacy, especially in Microsoft Office suite
- Previous experience handling basic accounting or finance-related tasks is advantageous
