Position: Architectural Office Assistant
Location: Pretoria

Introduction:
Our client, a well-regarded firm in the architectural sector, is seeking a highly organized and proactive Architectural Office Assistant to support their dynamic team in Pretoria.


Key Responsibilities:

  • Provide comprehensive administrative support to the design team and office management.
  • Organize and maintain project documentation, schedules, and filing systems.
  • Assist in the creation of project proposals, reports, and presentation materials.
  • Coordinate internal meetings, client appointments, and communications.
  • Manage office supplies, equipment, and ensure a well-maintained workspace.
  • Support basic design functions including drafting and model creation, if required.
  • Handle incoming calls, emails, and correspondence with clients, consultants, and contractors.
  • Draft, organize, and maintain contract documentation for various projects.
  • Compile and coordinate meeting minutes and project inspection reports.
  • Liaise with local councils and manage subcontract runner coordination and associated office needs.

Administrative & Operational Duties:

  • Oversee day-to-day office operations and ensure smooth running of administrative tasks.
  • Serve as executive assistant by managing calendars, appointments, and emails for leadership.
  • Assist with recruitment, onboarding, and HR-related administrative tasks.
  • Coordinate and plan internal staff events, functions, and client-facing meetings.
  • Act as the first point of contact at the front desk – answering calls and welcoming visitors.
  • Collaborate with suppliers and service providers to support seamless task execution.

Required Skills & Experience:

  • Strong multitasking and organizational abilities.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint).
  • Working knowledge of architectural software such as AutoCAD, Revit, or SketchUp is advantageous.
  • Excellent verbal and written communication skills.
  • A proactive, professional, and team-oriented mindset.
  • High attention to detail and ability to manage priorities effectively.
  • Prior experience in an administrative or architectural office role is preferred.
  • Familiarity with council submissions is a strong advantage.

Preferred Qualifications:

  • Educational background in architecture, design, or a related field.
  • Previous experience in office administration, executive assistance, or office management.

Remuneration:
R17 000 per month
