Mission / Core Purpose of the Role
To provide comprehensive daily administrative support to the General Manager, Senior Managers, and the Stakeholder & Relationship Management team, ensuring seamless operational efficiency and effective communication.
Key Responsibilities
1. Logistical & Administrative Support
- Act as a central point of contact for departmental communication, including meeting coordination and information dissemination
- Monitor and track stakeholder engagements, ensuring follow-ups and proper closure of all activities
- Compile submissions and prepare professional meeting packs for internal and external engagements
- Coordinate meeting logistics, including venue bookings, catering, dietary needs, accommodation, and related arrangements
- Ensure timely distribution of meeting packs to all relevant stakeholders
- Process stakeholder requests addressed to the Leadership Team in accordance with internal policies and procedures
- Manage business travel and accommodation arrangements for General Managers
2. Document Management & Filing
- Ensure accurate filing of meeting minutes on the shared drive
- Maintain records of all documented submissions for future access and audit purposes
- Establish and manage a structured, user-friendly document filing system
- Create and update administrative files, ensuring all documents are properly stored and accessible
- Track the daily activities of the CXSO and provide updates to the Leadership Team
- File incoming correspondence following appropriate action or instruction
- Maintain and regularly update distribution lists (e.g., new joiners, resignations)
- Support leadership in the full planning and execution of events
3. Financial Administration Support
- Create and monitor expenditure requisitions and general requisitions via Oracle, from initiation to reconciliation
- Manage office supply inventories and stationery needs
- Provide general administrative support including database maintenance, filing, and record keeping for the business unit
- Contribute financial insights during OPEX meetings regarding budget planning
- Monitor OPEX encumbrances and report variances to management and finance
- Conduct monthly supplier account reconciliations and ensure timely supplier payments in line with contracts and MTN policies
- Assist the finance team with monthly accruals and financial forecasts
- Monitor and ensure closure of open purchase orders in collaboration with buyers
- Maintain a register of all contracts within CXSO, flagging expirations six months in advance to leadership
4. People & Culture Engagement
- Develop and maintain personal development plans in collaboration with your leader
- Understand and align with key performance areas (KPAs) and performance indicators (KPIs)
- Take responsibility for your own performance and identify any training or development needs
- Actively engage in performance reviews and development discussions with your leader
- Champion the brand values and vital behaviours, influencing a positive work culture
- Foster a professional and engaging environment that supports loyalty, commitment, and high morale
- Help position MTN as an employer of choice through positive representation and contribution
Qualifications & Experience
Education
- Matric / Grade 12
- Diploma in Office Administration or Secretarial Administration (advantageous)
Experience
- Minimum of 2 years’ experience in an administrative role
- Experience in a small to medium-sized organisation
