Full Job Description

Purpose of the Role:
Provide operational support in the cargo handling process, from the time an Import pre-alert or Export order is received until goods are delivered to the Importer/Exporter. Ensure that all operational files, shipments, reports, document processing, and filing are completed according to KPIs and BIL Standard Operating Procedures (SOPs). Responsible for updating statistics, auditing and verifying shipment documentation, monitoring shipment progress, and reporting deviations. Assist the Supervisor and Manager as needed.


Qualifications & Experience

Qualifications:

  • Grade 12 (Matric)
  • Certificate/Diploma in Logistics or a related tertiary qualification (e.g., Degree or FIATA diploma is advantageous)
  • Computer literacy: MS Excel, Word, PowerPoint, Outlook, CargoWise, and (in-house FCSD system, Panda – training provided)

Experience:

  • Minimum 5 years of industry experience managing Import and Export operations (Sea and Air freight). Automotive experience is an advantage.
  • Strong knowledge of Import/Export Clearing and Forwarding operations and procedures.
  • Experience in customer liaison and a customer-focused approach.
  • Skilled in accurate data capturing, statistics, and reporting.
  • Understanding of query analysis and root cause analysis.
  • Familiarity with 5S principles and SHERQ and ISO Safety, Health, and Environmental standards for warehousing.

Key Responsibilities

Customer Satisfaction:

  • Respond to customer queries promptly and accurately.
  • Supervise operational KPIs to ensure targets are met.
  • Ensure SOPs align with customer expectations and minimize risks.

Operations:

  • Facilitate and generate documentation (e.g., bookings, SARS clearances, transportation, NPA and carrier requirements) for cargo from pre-alert/order to delivery.
  • Perform accurate data capturing for shipment reporting.
  • Support the Supervisor and Manager with operational improvements.
  • Assist in corrective action planning and root cause analysis.
  • Adhere to SHE standards, QMS, and company policies.
  • Take minutes at operations meetings when necessary.
  • Promote continuous service improvement.
  • Ensure compliance with hygiene and housekeeping standards.
  • Uphold BIL’s corporate image through correct signage, uniform use, and PPE adherence.
  • Maintain discipline in operational areas.
  • Conduct regular process audits and report deviations.
  • Implement and sustain 5S practices throughout operations.

Reporting:

  • Measure and report on KPI achievement daily, weekly, and monthly.
  • Submit reports within set timeframes.

Main Activities:

  • General and financial administration support.
  • Ensure that export and import processes (air, sea, road) align with SOP, KPI, and QMS requirements.
  • Daily communication with clients, dealers, customs, and BIL staff while upholding BIL’s values.
  • Coordinate bookings, documentation, and transport with other freight forwarders.
  • Manage shipment-related queries.
  • Update operational reports per SOP and maintain proper documentation filing daily.
  • Verify shipment accuracy according to KPI standards.
  • Complete and confirm VGM for FCL containers as per KPIs.
  • Update and manage daily KPI reports and maintain the KPI board.
  • Investigate, analyze, and document all variances and claims, implementing preventative measures.
  • Ensure strict adherence to PPE and maintain corporate branding standards.
  • Report and escalate incidents and deviations immediately.
  • Conduct daily 5S audits and submit completed audit sheets as required.
