Full Job Description

Reception & Frontline Duties

  • Greet and assist visitors in a professional and courteous manner
  • Maintain a tidy, welcoming reception area
  • Ensure all visitors sign in and are directed to the appropriate contact
  • Offer refreshments to visitors when required
  • Communicate expected waiting times clearly and politely

Switchboard Management

  • Answer and route incoming calls promptly and professionally
  • Screen and transfer calls to the appropriate staff members
  • Accurately take and forward messages as needed
  • Ensure every call is handled with courtesy and efficiency

Administrative Support

  • Keep a detailed log of visitors and phone calls received
  • Assist with photocopying, scanning, and document binding
  • Distribute incoming mail and internal documents to relevant departments
  • Provide general administrative support to frontline operations

Operational Standards & Compliance

  • Represent the Services SETA brand and uphold its values at all times
  • Report any issues affecting reception operations promptly
  • Ensure security and access protocols are strictly followed
  • Troubleshoot basic office equipment problems as needed

Performance & Service Excellence

  • Manage visitor and call handling efficiently
  • Receive and respond to stakeholder feedback on service quality
  • Ensure timely, accurate delivery of messages and internal documents
  • Adhere to organizational standards for reception and customer service

Minimum Requirements

  • National Senior Certificate (Matric) or equivalent qualification (NQF Level 4)
  • At least 1 year of experience in a reception, customer service, or administrative role
  • Familiarity with or experience in the SETA environment is an added advantage
