Full Job Description

The Records Administrator is responsible for accurately capturing and maintaining aircraft technical data, ensuring compliance with regulatory and organizational standards. This role supports various administrative functions related to aircraft documentation and maintenance recordkeeping.


Key Responsibilities

  • Update the maintenance system with daily ATLT flight hours, landings, oil consumption, and reported complaints.
  • Capture work packs and upload them into the system when required.
  • Scan and file hard copy documents as needed.
  • Maintain an organized document storage area in accordance with regulations and internal procedures.
  • Sort incoming documentation for assigned aircraft.
  • Identify discrepancies and missing pages in Aircraft Technical Log Records (ATLRs) and coordinate with relevant stakeholders to correct them.
  • Reconcile flight hour and cycle differences between the MRO system and ATLRs.
  • Record all part changes or movements in ATLRs.
  • Verify the authenticity of certificates received and ensure proper filing.
  • Inform administrators of any new components.
  • Assist in updating work orders, Airworthiness Directives (ADs), Service Bulletins (SBs), Engineering Orders (EOs), Supplemental Type Certificates (STCs), and repairs in the MRO system, and file supporting documents.
  • Distribute documentation as requested by various departments.
  • Address or escalate queries and requests related to technical records.
  • Stay up to date with applicable regulations, policies, and internal guidelines.
  • Report any compliance issues and contribute to corrective actions.
  • Analyze stakeholder feedback and suggest process improvements.
  • Maintain effective working relationships with internal and external stakeholders.

Qualifications and Experience

  • Education: Matric / Grade 12 (Essential)
  • Additional Qualification: Certificate or Diploma in Administration or related field (Advantageous)
  • Experience:
    • 1–2 years of experience in technical records administration within a mid-sized organization (Essential)
    • Exposure to aircraft documentation and technical maintenance systems (Advantageous)
  • Must be available to work overtime as required.
