Position Title:
Facilities Administrator / Receptionist

Job Purpose:
To provide comprehensive administrative and clerical support to the Centre Management team. Responsibilities include typing letters and reports, issuing purchase orders, answering calls, and managing general office duties. The role requires a commitment to upholding the company’s professionalism, reputation, and operational efficiency.


Key Performance Areas (KPAs):

Communication & Coordination:

  • Facilitate effective communication between internal staff, management, and external service providers
  • Provide support to company personnel and contractors as required
  • Keep management informed of significant activities, concerns, and cleaning issues

Client & Public Relations:

  • Maintain professional, courteous interactions with clients and the public
  • Handle switchboard duties, direct calls appropriately, and relay messages promptly
  • Greet and assist visitors, ensuring the relevant staff members are notified

Administrative & Operational Support:

  • Request and process job quotes as directed by the Property/Facilities Manager
  • Raise purchase orders via internal systems
  • Schedule and monitor contractor call-outs and job progress
  • Follow up on outstanding supplier invoices
  • Maintain and update OHS files for the Facilities Manager
  • Coordinate boardroom bookings, courier services, and document logistics
  • Manage filing systems, mail sorting, and internal distribution of memos and correspondence
  • Assist with typing, email routing, and general office duties
  • Support the Property Manager with tenant-related matters such as turnover collection and credit control
  • Keep office areas tidy and maintain stationery supplies
