Job Title: Parts Administrator


Purpose of the Role

To perform clerical duties related to parts administration by processing transactions accurately and within deadlines, following predefined procedures and standard operating protocols.


Role Summary

You will be responsible for handling administrative tasks related to parts receiving and dispatch, ensuring accuracy and timeliness. This role supports operational efficiency by maintaining accurate records, adhering to compliance standards, and contributing to customer satisfaction.


Key Responsibilities

Operational Duties

  • Process and manage the receiving and dispatching of parts in line with operational performance standards.
  • Ensure all documentation is accurately completed before dispatching parts to clients.
  • Verify incoming orders and ensure all items are logged in the system and ready for delivery.
  • Meet performance targets and service levels as agreed.
  • Follow governance and compliance guidelines strictly in daily activities.
  • Address routine operational issues with known solutions and escalate unresolved problems.
  • Monitor and safeguard goods to prevent theft or misplacement.
  • Maintain accurate records and submit timely reports to support decision-making processes.

Financial Efficiency

  • Carry out tasks efficiently to support departmental goals and minimize delays.

Customer Service

  • Provide products or services that align with customer expectations.
  • Ensure consistent, quality service delivery.

Development & Conduct

  • Participate in training and development activities to improve work performance and skill level.
  • Uphold company values through ethical behavior, confidentiality, and integrity in all work.

Minimum Requirements

Qualifications

  • Higher Certificate or Advanced National (Vocational) Certificate (NQF Level 4)

Experience

  • 1–2 years in a similar administrative or parts-related environment
