Administrator (Imports Logistics)

Introduction

Salary: R20 000 to R23 000

We are looking for a highly organized, detail-focused individual with strong analytical, planning, and communication skills. The ideal candidate will bring solid experience in import administration, logistics, or supply chain management. Familiarity with the Agriculture and Animal Feed sector is a significant advantage. A strong foundation in finance and analytical processes is essential for success in this role.


Key Responsibilities

Import Documentation & Coordination

  • Oversee all aspects of supplier contracts for both international and local vendors.
  • Share purchase contract details and required documentation with customs agents for import processing.
  • Maintain accurate and up-to-date import documentation and records.
  • Coordinate closely with customs agents to track shipment progress and resolve any clearance issues.

Invoice & Financial Processing

  • Manage processing of creditor invoices linked to imported goods, ensuring accuracy and compliance with payment terms.
  • Track and ensure timely settlement of invoices; maintain accurate financial records.
  • Handle debtor invoices when required, ensuring timely and precise billing in line with company policy.

Regulatory Compliance & Reporting

  • Ensure all import activities align with South African customs regulations and legal requirements.
  • Prepare regular reports on import activities.
  • Support internal audits and compliance checks related to import processes, invoicing, and inventory control.

General Administrative Support

  • Offer administrative assistance to the broader sales and logistics team.
  • Assist in preparing management reports and presentations.
  • Perform other administrative duties as needed to support operational efficiency.

Stakeholder & Relationship Management

  • Build and maintain productive working relationships with suppliers, customs agents, banks, logistics providers, and internal teams.
  • Quickly resolve any discrepancies or issues involving documentation, invoicing, inventory, or payment processing.
  • Liaise with clients, suppliers, marketers, and internal team members regularly.

Required Qualifications & Experience

Education:

  • A Diploma or Degree in Logistics, Supply Chain, Business Administration, Accounting, or a related discipline.

Experience & Skills:

  • 2–4 years of experience in import administration, logistics, or supply chain functions; experience in the agriculture or animal feed sector is a plus.
  • Experience with creditor and debtor invoice processing; a good grasp of accounting fundamentals.
  • Familiarity with South African import regulations and clearance procedures (note: direct customs clearing is not part of this role).
  • Advanced proficiency in Microsoft Excel.
  • Strong attention to detail with high accuracy in documentation and financial recordkeeping.
  • Excellent written and verbal communication skills.
  • Effective planning and time-management abilities.
  • Capable of managing multiple tasks and meeting deadlines under pressure.
  • A team player with the ability to work independently and take ownership of responsibilities.
  • Proactive, solutions-focused mindset with high levels of integrity and professionalism.
