Administrator (Business Development)

Introduction

Online Intelligence (Pty) Ltd is a leading provider of Enterprise Risk Solutions (ERS) across Africa, delivering world-class solutions with a growing global presence. We are currently seeking a Business Development Administrator to support our Head of Business Development & Client Relations, based at our Pretoria Head Office.

This role is essential in ensuring the efficient functioning of day-to-day operational tasks on behalf of the HOD, while also providing administrative and operational support to the broader Business Development & Client Relations team. The ideal candidate will be organized, proactive, and capable of managing multiple responsibilities within a fast-paced environment.


Key Responsibilities

Departmental Support

  • Manage calendars and coordinate meetings and appointments
  • Schedule and prepare meeting rooms, including setup and cleanup
  • Prepare meeting materials, agendas, and content packs
  • Track action items and follow up on deliverables post-meeting
  • Maintain clear and professional communication with clients, partners, and internal teams
  • Keep internal systems (Business Link, OI CiiMS, Records) regularly updated
  • Execute delegated tasks efficiently and accurately

Business Development Support

  • Track and follow up on contracts, agreements, and proposals
  • Assist with vendor registration and profile updates
  • Maintain the sales pipeline and administrative folders
  • Update client profiles and Business Link tickets
  • Assist in drafting proposals, quotations, and reimbursements
  • Conduct market research when required
  • Provide administrative support on tenders, bids, conferences, and expos

Minimum Requirements

  • South African citizen
  • Matric / Grade 12 certificate
  • Prior experience as a Personal or Executive Assistant is advantageous
  • Proficiency in Microsoft Word, Excel, PowerPoint, Outlook, Teams, and internet browsing
  • Relevant qualification in Administration or Office Support (advantageous)
  • Qualification or experience in Marketing or Sales (preferred)
