Position Overview:

The Administrative Officer will provide comprehensive administrative and secretarial support to both the UP-PUA and the Career Hub. This includes overseeing administrative operations, managing learner data, handling financial processes, facilitating communication, and coordinating events. The incumbent will also act as Secretariat for both units, ensuring accurate documentation and follow-up on all meetings and action items.


Key Responsibilities:

  • Office and Administrative Management: Efficient coordination of all UP-PUA office activities.
  • Secretariat Functions: Serve as secretarial support for UP-PUA and the Career Hub, including minute-taking and administrative follow-up.
  • Financial and General Administration: Support financial processing and manage general office administrative functions.
  • Learner Data Management: Maintain accurate records and ensure data integrity.
  • Communication and Liaison: Facilitate effective communication with stakeholders.
  • Events and Marketing Coordination: Assist in planning and executing events, workshops, and marketing initiatives.

Minimum Requirements:

Applicants must meet one of the following:

  • A three-year National Diploma in Office Administration or a related field, with at least 2 years of relevant experience; OR
  • A Grade 12 (Matric) qualification, with a minimum of 4 years of relevant experience.

Required Competencies:

  • Proven experience in office and administrative management
  • Strong secretarial and clerical skills
  • Financial administration and project tracking experience
  • Event planning and coordination skills
  • Proficiency in MS Office (especially Excel)
  • Ability to manage multiple priorities efficiently

Preferred Qualifications and Experience (Advantages):

  • A relevant bachelor’s degree
  • A diploma in Project or Event Management
  • Experience within a tertiary or academic environment
  • Familiarity with ERP systems (PeopleSoft preferred)
  • Background in public relations and budgeting
  • Exposure to faculty-level operations in a university setting

Remuneration:

The annual remuneration package will be based on the successful candidate’s level of appointment, in accordance with UP’s salary policies. UP contributes 50% to the monthly premium of medical aid schemes (BESTMED or UMVUZO).
