Position Summary

We are looking for a detail-oriented Administrative Assistant to ensure the smooth functioning of administrative operations at our branch. The role includes managing stock documentation, processing claims, handling client queries, and supporting accurate reporting and financial procedures.
Minimum Education & Training Requirements
- Matric (Grade 12)
Minimum Work Experience
- At least 1 year of relevant administrative experience
Key Responsibilities
- Receive stock and verify it against delivery notes
- File delivery documents and assist with additional receiving tasks as needed
- Ensure correct document processing and maintain accurate numbering on the system
- Electronically retrieve invoices, match them with delivery notes and purchase orders
- Handle and process all types of claims, including warranties, damaged goods, surplus/short deliveries, and expired items
- Maintain effective communication and good relationships with both internal and external clients; promptly resolve queries
- Generate various reports (daily, weekly, monthly) such as outstanding claims, POs, and negative stock reports
- Assist in quarterly stock counts and prepare related reports
- Enter physical stock count data into the system
- Create variance reports and communicate discrepancies to the line manager
- Liaise with suppliers regarding outstanding invoices, credit notes, or any inconsistencies
- Verify item codes, pricing, and stock levels against purchase orders and received goods
- Perform daily cash-ups and ensure compliance with policy on cash overages or shortages
- Submit daily cash-up reports, including discrepancies, to the Regional Banking Clerk
Technical Skills Required
- Computer literacy, particularly in MS Office
- Strong written and verbal communication
