Company Overview:
Starke Ayres is a leading African specialist and international provider of premium vegetable, flower, and lawn seed varieties for both commercial and home garden use. We are currently seeking an Admin Assistant to join our team in Kempton Park. This role will provide vital administrative support to the Orders and Africa Subsidiary Director.
Key Responsibilities:
- Coordinate pre-shipment inspections.
- Assist with the preparation and verification of export documentation to ensure compliance for international shipments.
- Maintain up-to-date customer and order records.
- Ensure timely submission and allocation of invoices to the accounts department for payment.
- Regularly update the export schedule and capture commercial orders into the ERP system for processing.
- Keep a current register of all phytosanitary requirements for countries we export to.
- Organize DAFF official sampling for external lab testing.
- Handle credit application processes for new customers and service providers in collaboration with the Finance team.
- Request and compare freight quotes as needed.
- Provide assistance to walk-in customers as part of daily responsibilities.
- Archive customer and order files after a 3-year retention period in accordance with internal policies.
- Notify customers with shipment details including vessel name, estimated departure, and arrival times.
- Coordinate with the Packing Facility to confirm collection dates.
- Liaise with shipping agents to arrange the transport of goods and communicate shipping costs and details to customers.
Minimum Requirements:
- Education: National Senior Certificate (Grade 12)
- Experience: 2–3 years of administrative experience
