Administrative Assistant

Introduction

We are seeking a dedicated Administrative Assistant to provide vital support to management and the OEM (Original Equipment Manufacturer) department. This role combines general administrative responsibilities with executive-level support to ensure efficient operations across both departmental and management functions.


Key Responsibilities

Administrative Support

  • Assist the Project Administrator with workshop overtime processing and PRP entries
  • Maintain organized files and records to support daily operations
  • Provide consistent updates and administrative assistance for ongoing projects
  • Capture credit card expenses in Intact and assist with vendor onboarding documentation

Executive Support

  • Prepare high-quality reports, presentations, and professional documents
  • Coordinate travel logistics, accommodation, and visa/passport applications for management
  • Draft, proofread, and edit correspondence, memos, and internal communications
  • Organize logistical requirements and materials for project site deployments

Document & Data Management

  • Ensure proper filing and easy accessibility of OEM project documentation on shared servers
  • Perform data capturing and administrative tasks for both OEM and Workshop departments
  • Book accommodation and meals for site employees as required

Procurement & Supplier Support

  • Collaborate with departments to onboard new suppliers and process necessary documentation
  • Assist with creating, amending, and canceling purchase orders
  • Work with receiving departments to track deliveries and resolve discrepancies

Compliance & System Support

  • Ensure all procurement and accounts payable activities comply with internal policies and external regulations
  • Support MySHEQ System data entry when needed

Other Responsibilities

  • Perform general admin duties such as scanning, filing, copying, and data entry
  • Take on additional tasks as required by the business, even if not listed in the job description

Qualifications & Experience

  • Relevant qualification in Office Administration
  • 0–2 years of administrative experience preferred

Remuneration

  • R15 000.00 CTC per month
