Position Title: Admin Clerk
Company: Bidvest International Logistics

Purpose of the Role:
Bidvest International Logistics is seeking a motivated and detail-oriented Admin Clerk with strong warehouse administration experience. The ideal candidate should have a sound understanding of invoice processing, inventory control, and WMS systems. Attention to detail and the ability to follow picking instructions accurately are essential.


Minimum Qualifications & Experience:

  • Grade 12 (Matric)
  • Minimum of 3 years’ experience in warehouse administration
  • At least 1 year of experience using CargoWise One
  • SAP experience is advantageous

Key Responsibilities:

1. Stock Management & Planning

  • Manage stock within the supply chain facility to ensure efficient operations
  • Capture incoming cargo and verify delivery notes against BIL tally sheets
  • Update information on BIL and customer systems
  • Verify theoretical stock against physical stock and report discrepancies
  • Notify supervisors of damages, expired items, or short-dated stock
  • Provide timely picking instructions aligned with BIL’s delivery schedule
  • Cross-check picking instructions to ensure correct stock is dispatched
  • Perform general administrative tasks including reception duties, invoicing, and document management
  • Ensure PODs are recorded, scanned, and filed appropriately
  • Resolve client queries promptly and effectively

2. Distribution Management

  • Release and capture orders on client and BIL systems
  • Coordinate picking, invoicing, and dispatch procedures
  • Accurately process returns and apply appropriate return codes on the same day
  • Maintain smooth documentation flow for incoming and outgoing cargo
  • Compile and submit reports, spreadsheets, and charge-outs to management and clients
  • Follow up on outstanding invoices and pending orders

3. Project Support

  • Contribute to the enhancement of administrative processes for the benefit of BIL and its clients

4. Communication

  • Maintain daily communication with supply chain depots, sales agents, the warehouse team, and clients
  • Address and resolve operational issues and customer concerns
  • Uphold BIL’s policies and procedures in all interactions

5. General Duties

  • Ensure adherence to all client service deadlines
  • Maintain a clean and safe workstation in line with health and safety protocols
  • Fulfill assigned SHE (Safety, Health & Environment) responsibilities
