Minimum Requirements
- Valid driver’s license and own transport
- Diploma or Certificate in Office Administration, Secretarial Studies, or Business Administration
- 2–4 years’ experience in administration, HR support, or executive assistance
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Strong verbal and written communication skills
- Highly organized with excellent time management abilities
- Professional appearance, positive attitude, and a strong work ethic
- Ability to multitask, prioritize, and work effectively under pressure
- Keen attention to detail and sound problem-solving abilities
- Understanding of South African business compliance (advantageous)
- Experience supporting executives or multiple departments
- Familiarity with procurement or basic accounting (advantageous)
- Self-starter with the ability to work independently
- Customer service-oriented with strong interpersonal skills
Key Responsibilities
- Oversee daily office operations, manage filing systems, and handle general correspondence
- Schedule meetings, appointments, and conference calls; prepare related documentation
- Professionally manage incoming communication including phone calls and emails
- Draft and proofread letters, presentations, reports, and business documents
- Maintain electronic and physical filing systems and company databases
- Coordinate travel arrangements including bookings for flights, accommodation, and visas
- Assist with HR functions such as onboarding, leave administration, and recordkeeping
- Monitor and replenish office supplies as needed
- Liaise with vendors, service providers, and building management to ensure smooth operations
- Assist in planning and executing internal events, workshops, and staff functions
- Handle sensitive and confidential information with discretion
- Provide general administrative support and ad hoc assistance to management
