Position: Administrator / Personal Assistant / Receptionist
Location: East Rand
Salary: R28,000 – R30,000 per month (plus provident fund after 3 months)

An established and reputable company is seeking an experienced Administrator / Personal Assistant / Receptionist to become part of their dynamic team. This multifaceted role combines office administration, marketing support, logistics coordination, and executive assistance.


Requirements:

  • Matric or equivalent qualification
  • Minimum 5 years of experience in a similar administrative role
  • Pastel experience is an advantage

Key Responsibilities:

Office Administration:

  • Manage and direct phone calls; take and distribute messages
  • Handle procurement of office supplies and company necessities, including groceries
  • Receive, send, and distribute faxes, correspondence, and general notices
  • Manage incoming and outgoing mail
  • Maintain and update Material Data Sheets
  • Capture and manage Debtors and Creditors records and correspondence

Marketing & Sales Support:

  • Submit DTI applications for international trade fair participation
  • Coordinate logistics for both local and international trade shows
  • Plan and manage mid-year client engagement and gifting campaigns
  • Organize internal company functions and events
  • Distribute festive season gifts and updated pricing structures
  • Provide secretarial support to the marketing team
  • Assist with the preparation and distribution of tender documents

Logistics Coordination:

  • Arrange local collections, deliveries, and rentals via subcontractors and couriers
  • Manage local and international sample deliveries
  • Maintain the sample register
  • Schedule and oversee servicing, repairs, and licensing of company vehicles and forklifts
  • Distribute staff uniforms

Personal Assistant Duties:

  • Coordinate domestic and international travel for two company Directors
  • Schedule meetings and take minutes during internal staff meetings
  • Circulate staff updates and notices
  • Manage company cell phone contracts
  • Oversee updates and maintenance of the company website
  • Handle Goods Received Vouchers (GRVs) and Delivery Notes (DNs)
  • Process and track insurance claims
