An international player in the Aviation and Defence industry is looking for a highly efficient Executive Assistant & Office Administrator to support their South African operations. This role suits a well-organized and proactive individual who thrives in a high-performance, fast-paced environment. You’ll be instrumental in ensuring operational efficiency and professional front-office representation.


Minimum Requirements

  • Valid driver’s license and own transport
  • Diploma or Certificate in Office Administration, Secretarial Studies, or Business Administration
  • 2–4 years’ experience in administration, HR support, or executive assistance
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Strong verbal and written communication skills
  • Highly organized with excellent time management abilities
  • Professional appearance, positive attitude, and a strong work ethic
  • Ability to multitask, prioritize, and work effectively under pressure
  • Keen attention to detail and sound problem-solving abilities
  • Understanding of South African business compliance (advantageous)
  • Experience supporting executives or multiple departments
  • Familiarity with procurement or basic accounting (advantageous)
  • Self-starter with the ability to work independently
  • Customer service-oriented with strong interpersonal skills

Key Responsibilities

  • Oversee daily office operations, manage filing systems, and handle general correspondence
  • Schedule meetings, appointments, and conference calls; prepare related documentation
  • Professionally manage incoming communication including phone calls and emails
  • Draft and proofread letters, presentations, reports, and business documents
  • Maintain electronic and physical filing systems and company databases
  • Coordinate travel arrangements including bookings for flights, accommodation, and visas
  • Assist with HR functions such as onboarding, leave administration, and recordkeeping
  • Monitor and replenish office supplies as needed
  • Liaise with vendors, service providers, and building management to ensure smooth operations
  • Assist in planning and executing internal events, workshops, and staff functions
  • Handle sensitive and confidential information with discretion
  • Provide general administrative support and ad hoc assistance to management
