Position Summary: Team Assistant
As a Team Assistant, you will provide comprehensive administrative support to the Heads of Departments for Rehabilitation and Marketing & Communication, ensuring smooth and efficient departmental operations and service delivery.
Key Responsibilities
Administrative Support:
- Provide general secretarial and administrative support to the assigned departments.
- Schedule and manage the diaries of department heads.
- Compile and distribute monthly reports in accordance with agreed timelines.
- Organize and coordinate departmental meetings, including catering arrangements when necessary.
- Draft letters, presentations, circulars, and other correspondence.
- Handle departmental queries and maintain clear communication across all levels.
Travel Coordination:
- Manage end-to-end travel arrangements for department staff, including bookings and itineraries.
Financial Administration:
- Assist with monitoring and managing departmental budgets.
- Process invoices and financial requests for approval.
General Office Administration:
- Take accurate minutes during meetings and ensure timely distribution.
- Prepare agendas and follow up on action items and deadlines.
- Maintain committee schedules and circulate relevant communications.
- Manage departmental documents via SharePoint, ensuring proper version control and publication.
- Upload month-end reports and arrange stationery supplies as needed.
- Schedule meetings and coordinate logistics as requested.
Stakeholder and Project Support:
- Assist with organizing stakeholder training and projects, including venue bookings and courier logistics.
- Provide administrative assistance for project coordination activities.
- Support the logistics of events such as conferences and engagements with external stakeholders, including unions, clients, and service providers.

What You’ll Bring
- Matric / Grade 12 (Essential)
- A diploma in Office Administration, Secretarial Studies, or Project Management (Preferred)
- 1–2 years of experience in project and/or event coordination
- Experience with invoice processing and operational expenditure (Opex) management
- Strong organizational and time management skills
- Excellent communication and customer service orientation
- High attention to detail and accuracy
- Ability to manage pressure and meet deadlines
- Professional demeanor and presentation
- Proficiency in information and document management (including SharePoint)
- Experience in stakeholder engagement and event logistics
