Job Summary
Spec-Savers Heidelberg is seeking a friendly, professional, and customer-focused Frontliner to join our team. As the first point of contact for patients, you will be essential in creating a warm and welcoming environment while managing appointments, responding to inquiries, and supporting day-to-day administrative functions. Minimum Requirements

Education & Experience

  • Matric (Grade 12) or equivalent
  • Previous experience in customer service, administration, or reception (experience in optometry, medical, or retail sectors is advantageous)

Skills & Competencies

  • Excellent verbal and written communication
  • Strong interpersonal and customer service skills
  • Ability to multitask and stay organized in a busy environment
  • Proficient in Microsoft Word, Excel, and appointment scheduling systems
  • Detail-oriented with strong accuracy in handling sensitive patient information
  • Sales experience and a team-player mindset
  • Reliable, proactive, and eager to learn

Additional Preferences

  • Fluent in English
  • Knowledge of Oshiwambo and Portuguese is a strong advantage
  • Flexible availability, including weekends if required
  • Familiarity with optical products and medical aid processes is beneficial

Key Responsibilities

Patient Reception & Customer Service

  • Welcome patients professionally and ensure a positive first impression
  • Assist with patient check-ins and provide support while they wait
  • Respond to inquiries regarding products, services, and procedures

Appointment Scheduling

  • Manage appointment bookings, confirmations, and reminders
  • Coordinate rescheduling and cancellations to maintain efficient scheduling

Administrative Duties

  • Maintain accurate and confidential patient records
  • Assist with insurance verification and claim submissions
  • Perform general office tasks including data entry, filing, and documentation

Product Assistance

  • Guide patients in selecting eyewear and explaining lens options
  • Provide information on optical products and current offerings
  • Manage stock displays and maintain a neat retail space

Billing & Payments

  • Process payments via cash, card, and medical aid
  • Assist patients with billing questions and payment arrangements

Coordination & Communication

  • Work closely with optometrists and colleagues to ensure seamless patient care
  • Communicate appointment reminders, follow-ups, and promotions

General Support

  • Keep the front office and waiting area clean and orderly
  • Ensure supplies and materials are stocked
  • Assist with additional duties to support the daily operation of the practice
