Job Title: Personal Assistant to Divisional Heads and Managers
Location: South African Reserve Bank (SARB) – Financial Surveillance Department
Job Overview
The primary responsibility of this role is to provide high-level administrative and personal support to the divisional heads and managers within the Financial Surveillance Department at the South African Reserve Bank (SARB).
Key Responsibilities
The successful candidate will be expected to:
- Proactively manage and coordinate the calendars and schedules of divisional heads and managers.
- Handle incoming calls professionally, screening and directing them appropriately or responding independently where possible.
- Organize logistics for meetings, appointments, and travel arrangements in collaboration with relevant stakeholders.
- Facilitate coordination with external parties for in-person engagements.
- Serve as a liaison, maintaining strong working relationships with both internal and external stakeholders.
- Ensure all correspondence is filed and recorded in accordance with SARB’s file plan and governance protocols.
- Create and maintain an up-to-date contact database for divisional leadership.
- Draft, edit, and format correspondence, presentations, reports, and action plans; conduct preliminary research and analysis as needed.
- Record and distribute accurate minutes for divisional and management meetings, as well as project committees.
- Compile and manage project-related information for divisional heads and managers.
- Evaluate and improve administrative procedures to enhance operational efficiency.
- Conduct daily responsibilities with the highest level of discretion and confidentiality.
- Execute ad hoc administrative tasks as directed by divisional heads and managers.
Minimum Qualifications & Experience
- Grade 12 (Matric) with a Diploma in Secretarial Studies or equivalent qualification.
- 2 to 5 years of experience in a personal assistant or similar administrative role within a corporate environment.
Required Skills and Competencies
- Strong administrative and clerical expertise
- Excellent communication skills (verbal and written)
- Proficient in Microsoft Office Suite
- High attention to detail and organizational skills
- Ability to prioritize tasks and work under pressure
