Job Title: Distribution Administrator

Location: Pinetown, KZN
Salary: R16,000 (Negotiable) + Medical Aid & Provident Fund


Role Overview

The Distribution Administrator is responsible for managing the smooth and accurate flow of goods in and out of the dispatch area. This includes validating all stock movements with the necessary documentation, maintaining high housekeeping standards, and overseeing fleet activity to ensure timely and efficient deliveries.


Key Responsibilities

Operational Management

  • Allocate picking slips in accordance with daily delivery schedules and maintain an up-to-date register.
  • Oversee the physical handover of stock and ensure all items are correctly labelled and documented.
  • Perform daily checks to verify items against picking slips for accuracy.
  • Ensure proof of delivery (POD) documents are submitted on time and verified appropriately.
  • Coordinate third-party logistics for collections and deliveries.
  • Ensure accurate and prompt invoicing processes.
  • Guarantee the timely commencement of operations with adequate workforce availability.
  • Monitor CHEP pallet control and maintain accurate counts.
  • Investigate and resolve stock discrepancies with the relevant departments.
  • Compile and submit daily and weekly operational reports.
  • Participate in periodic stock takes and cycle counts.
  • Provide additional support across broader warehouse functions when required.

Customer Service

  • Maintain a professional appearance and courteous attitude toward customers.
  • Ensure prompt customer service and attend to queries efficiently.
  • Meet delivery commitments and effectively manage backorders.

Fleet Coordination

  • Track and monitor vehicle routes and driver performance using tracking software.
  • Conduct daily vehicle inspections and oversee servicing and maintenance schedules.
  • Ensure drivers adhere to assigned routes and correct loading procedures.
  • Dispatch vehicles in accordance with delivery timetables.

Health & Safety Compliance

  • Enforce the use of correct PPE and maintain a safe, hazard-free work environment.
  • Promote a clean and organized dispatch area aligned with safety standards.
  • Actively identify and report risks, incidents, or near misses in a timely manner.

Minimum Requirements

  • Matric (Grade 12) is essential.
  • A relevant tertiary certificate or diploma in logistics or distribution is advantageous.
  • Minimum of 5 years’ experience in distribution/logistics.
  • Experience in a global or multinational logistics environment is beneficial.
