Purpose of the Role

The Service Administrator plays a pivotal role in supporting the service department by managing administrative processes, coordinating service activities, maintaining accurate records, and facilitating clear communication between customers, service technicians, and management. This role is vital in ensuring operational efficiency and customer satisfaction.


Key Responsibilities

  • Schedule and coordinate service appointments, work orders, and technician dispatch
  • Maintain detailed records of service jobs, including work performed, parts used, and customer interactions
  • Process service invoices, purchase orders, and warranty claims accurately
  • Address customer inquiries, provide updates, and resolve service-related concerns
  • Support the service department with documentation, reporting, and compliance
  • Monitor stock levels and assist with ordering of parts and supplies
  • Ensure adherence to safety protocols, company policies, and regulatory requirements
  • Generate service performance reports and contribute to continuous improvement of workflow
  • Manage additional regional responsibilities, including warranty claims and new machinery arrivals in KZN

Candidate Requirements

Qualifications:

  • Matric (Grade 12) is essential
  • A Bachelor’s degree is advantageous

Experience & Skills:

  • Previous experience in an administrative or customer service role (preferably within a technical/service environment)
  • Strong organizational and multitasking abilities
  • Proficient in Microsoft Office and service management systems (e.g., SAP, Sage)
  • Excellent communication and problem-solving skills
  • High attention to detail and a proactive, solutions-driven mindset
  • Ability to work well under pressure and manage multiple priorities
  • Clear criminal record

Remuneration

R12,000 – R15,000 per month, based on experience and qualifications.
