Position: Executive Assistant & Office Administrator (Aviation & Defence)
Location: Bedfordview, Gauteng
Salary: R15 000 – R30 000 CTC per month (commensurate with experience and qualifications)

A rapidly expanding international company in the Aviation and Defence industry is seeking a highly efficient and proactive Executive Assistant/Office Administrator to support its South African operations. Minimum Requirements
- Valid driver’s licence and own reliable transport
- Diploma or Certificate in Office Administration, Business Administration, or Secretarial Studies
- 2–4 years’ proven experience in administrative, HR support, or secretarial roles
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Excellent written and verbal communication skills
- Strong organizational and multitasking abilities
- Professional appearance, positive attitude, and strong work ethic
- Ability to manage multiple priorities under pressure
- High attention to detail with solid problem-solving skills
- Familiarity with South African business compliance and protocols (advantageous)
- Experience supporting executives or cross-functional teams
- Basic knowledge of accounting and procurement processes
- Self-starter with the ability to work independently
- Strong interpersonal and customer service skills
Key Responsibilities
- Oversee and maintain daily office operations, including document control, filing systems, and general correspondence
- Coordinate meetings, appointments, and conference calls; prepare agendas and record meeting minutes
- Professionally manage incoming calls, emails, and other communications
- Draft, format, and edit various business documents, including letters, reports, and presentations
- Maintain accurate and up-to-date records and databases (digital and physical)
- Arrange travel, accommodation, and visas for executives and visiting team members
- Provide administrative support to HR functions such as onboarding, leave tracking, and personnel record management
- Monitor and replenish office supplies and place orders as necessary
- Communicate with service providers, landlords, and vendors to ensure uninterrupted office functionality
- Assist in planning and executing company events, workshops, and team-building activities
- Manage sensitive and confidential information with professionalism and discretion
- Perform general administrative tasks and support management with ad-hoc duties as needed
