This position combines high-level executive support, office administration, and essential finance functions including bookkeeping and reconciliations. Minimum Requirements:
- Matric / Grade 12 (Non-negotiable)
- Diploma or Certificate in Personal Assistance (advantageous)
- Proven experience as an Office Administrator or similar role
- Proficiency in Microsoft Office (particularly Excel)
- Experience using Xero (advantageous)
- Solid understanding of office management systems and procedures
- Excellent written and verbal communication skills
- Exceptional organizational and time management abilities
- Ability to multitask and prioritize effectively
- High level of discretion and confidentiality
Key Responsibilities:
Administrative Support:
- Manage incoming calls and direct them appropriately
- Distribute correspondence and respond to queries in a timely manner
- Maintain the executive calendar and coordinate meetings and appointments
- Arrange travel and accommodation
- Order and manage office supplies
- Prepare communications for suppliers and internal teams
- Establish and maintain effective filing and document management systems
- Oversee general office maintenance and equipment servicing
- Manage all forms of incoming and outgoing communication (emails, letters, calls, packages)
- Support other ad hoc administrative tasks as needed
Financial Duties:
- Load payments and maintain the company cash book
- Perform bank reconciliations
- Process and reconcile both supplier and customer invoices
- Support weekly and month-end financial closing activities
- Handle general bookkeeping tasks
- Assist with other finance-related administrative functions
