Full Job Description:

Key Performance Areas:

1. Stakeholder Support

  • Advise chambers and business units on uploading compliant discretionary grants and administrative payments.
  • Provide feedback on submitted payments within 30 days.
  • Address internal and external stakeholder queries within 48 hours.

2. Financial Administration

  • Verify payment claims from chambers and units against contract deliverables.
  • Verify administrative payments and travel invoices captured by SCM on the RFP system.
  • Capture invoices for discretionary grants and administrative claims, and create payment batches using Sage X3.
  • Create new vendor profiles and capture banking details on Sage X3.
  • Prepare finance payment requisitions for related payments.
  • Allocate GL accounts, Project IDs, and activity numbers to payment claims.
  • Prepare monthly creditor reconciliations.
  • Maintain electronic filing of finance documents.
  • Respond to audit and consultant information requests.
  • Perform weekly bank reconciliations for all accounts.
  • Capture journals and assist with other finance-related reconciliations.
  • Conduct asset verification and tagging.
  • Update the commitment register with contract information, payments, cancellations, and surplus declarations.

3. RFP System and Project Module Management

  • Verify and capture administrative and discretionary grant payments on Sage X3.
  • Confirm deliverables of DG contracts on the PaperTrail system.

4. Personal Development and Reporting

  • Complete HR requirements on time (e.g., performance agreements, appraisals, PDPs, declarations of interest).
  • Share knowledge and mentor other finance team members.

Minimum Requirements:

1. Experience and Qualifications:

  • National Diploma (NQF Level 6) in Accounting.
  • Minimum of 1 year of experience in an Accounting/Finance environment.
  • Proficiency in Microsoft Excel.
  • Familiarity with accounting systems; public sector experience is advantageous.

2. Knowledge and Skills:

  • Understanding of business administration and financial management systems, including accounting software and MS Office.
  • Knowledge of relevant legislation and GRAP standards.
  • Strong administrative, typing, communication, report writing, and presentation skills.
  • Analytical ability, data analysis, and performance information management expertise.
