Role Purpose:
We Buy Cars is seeking a proactive, detail-oriented Administrator to join our Dealer Sales Team. In this role, you will be responsible for coordinating and facilitating vehicle transport arrangements for our network of dealers across the country. Your work will ensure timely, efficient scheduling of vehicle deliveries, enhancing dealer satisfaction and supporting the performance of our sales team.


Key Responsibilities:

Transport Coordination:

  • Arrange and confirm transport for dealer vehicle purchases with logistics partners.
  • Ensure transport bookings are made promptly after each sale to prevent delays.
  • Monitor vehicle movement and provide regular ETA updates to stakeholders.

Communication & Liaison:

  • Act as the primary contact for all dealer transport requests and related queries.
  • Maintain effective communication among branches, dealer sales executives, dealers, and transport service providers.
  • Regularly update the Dealer Sales team on the status of vehicle deliveries.

Administrative Support:

  • Accurately record all transport bookings and handovers.
  • Assist with data entry, transport bookings, invoicing, and relevant documentation for dealer deliveries.
  • Ensure adherence to internal transport processes and service level agreements (SLAs).

Process Improvement:

  • Identify and report any bottlenecks or delays in the transport process.
  • Propose improvements to workflows and systems to enhance efficiency.
  • Collaborate with logistics and IT teams to optimize transport tracking and feedback mechanisms.

Minimum Requirements:

  • Matric (Grade 12) qualification.
  • A certificate or diploma in Administration or Logistics (advantageous).
  • At least 2 years’ experience in an administrative role (experience in automotive, logistics, or transport coordination is preferred).
  • Strong computer skills, especially in MS Office (Excel proficiency essential); experience with transport or CRM systems is a plus.
  • Excellent communication and interpersonal skills.
  • Ability to prioritize tasks, work under pressure, and meet tight deadlines.
