Core Responsibilities
Reception & Office Coordination
- Greet visitors and manage all front desk operations with professionalism
- Handle incoming calls, messages, and voicemails promptly and courteously
- Manage incoming/outgoing mail, courier services, and deliveries
- Maintain a clean and well-presented reception and office space
- Schedule and coordinate boardroom bookings and meeting preparations
- Manage office supply orders across multiple locations
- Oversee general office upkeep, including plants and equipment maintenance
Personal Assistance to the General Manager
- Manage the GM’s calendar, meetings, and appointments
- Draft and prepare documents, take minutes, and track action items
- Liaise with internal and external stakeholders on behalf of the GM
- Coordinate catering and meeting refreshments
- Support with logistics related to furniture, art, and equipment
- Assist with municipal correspondence and related tasks
Team and Administrative Support
- Provide general admin assistance to various departments as needed
- Verify mobile claims and maintain delivery logs
- Supervise office cleaning staff and ensure a presentable, efficient workspace
- Offer ad hoc support to the broader regional team when required
Minimum Requirements
- Matric (Grade 12) plus a relevant diploma in Office Administration, Secretarial Services, or related field
- 3+ years of experience in a similar Reception, PA, or Office Admin role
- Experience in a corporate or property-related setting is advantageous
Technical Skills:
- Proficient in Microsoft Office and general computer systems
- Professional phone etiquette and verbal/written communication
- Familiarity with courier coordination, stock control, and meeting scheduling
Other Essentials:
- Valid driver’s license and own vehicle
