Purpose of the Role

To manage financial administration and support functions within the Financial Planning division, ensuring smooth, compliant, and efficient operations.


Key Responsibilities

1. Financial Administration & Support

  • Provide end-to-end financial administration services for the research and innovation environment.
  • Manage procurement processes, purchase orders, payments, bursaries, petty cash, and asset control.

2. Month-End Financial Controls

  • Oversee financial month-end procedures including transaction validation, account reconciliation, and funding compliance.
  • Prepare and submit accurate financial reports to support informed decision-making and maintain financial governance.

3. Research & Innovation Support

  • Deliver administrative support to facilitate research activities.
  • Coordinate projects, manage compliance documentation, and enhance stakeholder collaboration to support successful research outcomes.

4. Project Administration

  • Administer and support research and innovation projects under the Deputy Dean’s portfolio.
  • Responsibilities include budget management, deliverable tracking, compliance monitoring, and communication facilitation among project teams.

5. Executive Administrative Support

  • Provide direct support to the Deputy Dean: Research and Innovation.
  • Manage calendars, coordinate meetings, prepare documents, maintain records, and assist with reporting and communications to ensure smooth departmental operations.

Minimum Qualifications & Experience

  • Diploma in Financial Management or Administration (NQF Level 6).
  • At least 2 years of experience working with the Kuali financial system and NWU administrative platforms.

Core Functional/Technical Competencies

  • Proficient in Kuali Financial System.
  • Skilled in NWU Administrative Systems.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).

Behavioral Competencies

  • Strong interpersonal skills with the ability to interact effectively with staff, students, and external stakeholders.
  • Ability to work well under pressure.
  • High attention to detail and accuracy in financial processes.

Remuneration

The total annual remuneration package will be aligned with the level of appointment and NWU policy guidelines.
