Administrator (Sales Orders)

Introduction

Our client, a leader in the engineering sector, specializes in the supply of high-quality, engineered electrical products, backed by exceptional technical support both before and after sales. Based in Midrand, they are seeking an experienced and detail-oriented Sales Orders Administrator to join their team.

This role involves overseeing the full order lifecycle — from receipt to fulfilment — ensuring accuracy, timeliness, and top-tier customer service throughout the process. The ideal candidate is proactive, organized, resilient, and able to manage multiple priorities with a positive and professional attitude.


Key Responsibilities

Core Duties (Include, but are not limited to):

  • Deliver outstanding customer service by promptly and professionally addressing client inquiries.
  • Receive and process customer orders via email, phone, or electronic systems.
  • Accurately capture customer and billing details on the order system.
  • Convert quotations into confirmed orders.
  • Request prepayments where necessary and route payment requests to the Director, Finance, and GM.
  • Send purchase orders to suppliers and negotiate better pricing and delivery timelines where possible.
  • Communicate regularly with clients regarding order acknowledgements, pricing, delivery timelines, and any delays.
  • Confirm product availability, pricing, and ensure order accuracy before finalizing.
  • Manage order changes, cancellations, and returns per company policies.
  • Maintain and update order data in both Excel spreadsheets and Kerridge system.
  • Inspect outgoing orders for compliance with client specifications.
  • Monitor and report on order fulfilment and delivery performance.

Reporting:

  • Prepare and submit weekly reports on active orders and back-orders.
  • Provide clients with weekly updates on back-order status.

Coordination & Support:

  • Collaborate with logistics and warehousing teams to ensure timely delivery.
  • Monitor stock levels and report low inventory.
  • Assist the sales team with promotional campaigns, client events, and marketing activities.
  • Liaise with internal sales teams and third-party logistics (3PL) providers regarding deliveries, credit approvals, and timelines.
  • Participate in cross-functional meetings for workflow alignment and process improvement.

Experience & Qualifications

Experience:

  • Minimum of 5 years’ experience in a sales/order administration role, managing full-cycle order processing.
  • Prior exposure to the electrical supply, panel manufacturing, or components industry is highly advantageous.
  • Proven attention to detail and accuracy in order processing and reporting.
  • Demonstrated ability to thrive in fast-paced, high-pressure environments.
  • Strong communication skills (verbal and written) in English.
  • Exceptional organizational, negotiation, and numerical skills.
  • Ability to work both independently and collaboratively within a team.

Qualifications:

  • Matric / Grade 12.
  • Formal qualification in Supply Chain Management and/or Office Administration.
  • Valid driver’s license.

Remuneration

R18,000 Total Cost to Company (TCTC) per month
