Main Job Purpose:

The Corporate Services Assistant will play an integral role within the Transport and Estates team, collaborating regularly with other Corporate Services Departments. The focus is on delivering a proactive, customer-centric service in South Africa.

The primary responsibility is to transport passengers comfortably, safely, and efficiently to various destinations, including some estates functions. Meeting these goals involves additional responsibilities, tasks, knowledge, attention to detail, and maintaining a presentable and well-spoken demeanor.

The successful applicant is expected to have a pleasant and polite personality and the ability to work effectively as part of a team.

Roles and Responsibilities:

The following roles and responsibilities serve as general guidelines and may change over time with prior consultation:

  • Provide highly efficient customer service in the area of transport, including collecting customer feedback, accommodating swipe booking changes, and ensuring appropriate guest interaction during drives.
  • Ensure the vehicle is well-maintained, clean both inside and out before each trip, and report any defects promptly. This includes vehicle cleaning, regular services or repairs, and performing pre-trip inspections.
  • Provide and confirm journey information to passengers well in advance, collaborating with the team and/or suppliers in case of unexpected changes.
  • Ensure vehicles are prepared, fueled, and secured in advance of VIP visits. Communicate, coordinate, and deliver all aspects of each VIP visit effectively.
  • Adhere to South African traffic laws and regulations at all times.
  • Prioritize customer safety and collaborate with the Diplomatic Police in case of challenges.
  • Conduct daily vehicle checks, including securing vehicles, securely storing keys, and inspecting spare wheels and wheel jacks.
  • Perform transport administration duties, maintaining accurate records of bookings, journeys, mileage, and fuel consumption.
  • Familiarize, understand, and adhere to the British High Commission South Africa’s Transport Policy and Corporate Services Charter.
  • Report to the Transport Supervisor daily, attend weekly transport meetings, and monthly Corporate Service Department meetings.
  • Perform ad hoc duties, including purchasing for other departments, transporting documentations, diplomatic bags, and assisting with non-transport-related functions.
  • General administration duties, such as updating personal leave records, activity recording, responding to emails, reconciling Corporate Credit Cards, and Government Procurement Credit Cards.
  • Substitute for the Transport Supervisor during periods of leave, requiring computer literacy, fluency in English, and the ability to coordinate transport bookings.

Resources Managed:

Office-issued mobile phone and Corporate Credit Card.

Essential Qualifications, Skills, and Experience:

  • Fluent in written and spoken English.
  • Must have a C1 with PDP Driver’s License.
  • Driver/Chauffer experience is essential.
  • Geographical knowledge.
  • Good communication skills and basic IT literacy.
  • Computer literacy and basic administration skills are required.
