Business Administrator at Microsoft

Overview: Cloud Operations + Innovation is in search of a proficient Business Administrator to provide assistance to a Vice President within our Data Center Engineering (DCE) division. This position entails a diverse array of responsibilities within a fast-paced and dynamic setting. The ideal candidate will possess strong organizational and communication skills, demonstrate proactive anticipation of needs, adeptly manage shifting priorities, and exhibit self-motivation and self-awareness.

Location: Redmond, WA

Please note: Relocation support will not be offered, and successful candidates are expected to relocate or reside within 50 miles of the hub office location.

This role offers flexibility for hybrid or remote work, up to 50%.

Calendar Management and Time Planning Support:

  • Acquires knowledge to manage calendars and schedule for manager(s) such as Directors.
  • Potential responsibility for overseeing community space or conference room calendars.
  • Adapts calendar management based on manager’s preferences and work styles, including personal requirements and alignment with business priorities.
  • Ensures smooth meeting preparations, including room bookings and assisting with resolving audio-video (AV) and technical issues.
  • Develops skills to handle ambiguous situations effectively.

Cross-Functional Collaboration and Communication:

  • Establishes relationships with stakeholders across various departments (e.g., HR, Finance, event planners) to facilitate the work of their leader or team.
  • Begins to engage in communication with external partners and audiences.

Discipline Growth and Development:

  • Actively engages in the Business Support community.
  • May provide guidance to less experienced Business Support colleagues to enhance their organizational understanding and capabilities.
  • Supports onboarding and training processes for new Business Support staff.
  • Contributes to fostering the organization’s culture and shares insights and best practices.

Team Management Support (Headcount Management, Recruitment, Onboarding/Offboarding):

  • Participates in team experience activities.
  • Collaborates with Global Talent Acquisition (GTA) for internal and external recruitment efforts, assisting hiring managers as necessary.
  • Supports onboarding processes for new employees, vendors, and interns, including logistics coordination and equipment setup.
  • Manages headcount activities, including staff movement, reporting, and offboarding procedures.

Event Coordination and Logistics:

  • Assists in planning, coordinating, and promoting events.
  • Contributes to determining event objectives and requirements, potentially creating event itineraries.
  • Acts as a primary point of contact for events, addressing preparatory issues and post-event tasks.
  • Contributes to maintaining team morale and dynamics.

Project Ownership:

  • Executes projects and tasks independently, delivering outcomes with minimal supervision.
  • Takes full ownership of project components, identifying and communicating risks and challenges.
  • Offers suggestions for process improvements and adapts as necessary.

Resource Management (Hardware/Supply Management, Purchase/Expense Management, Financial Management):

  • Contributes to planning, tracking, and maintaining equipment and inventory based on business needs.
  • Processes expense reports in compliance with Microsoft policy.
  • Participates in discretionary budget tracking and reporting, including vendor and supplier management.
  • May assist in budget management alongside peers, such as Finance and Business Manager

Qualifications

 Required Qualifications

  • 2+ years Administrative, Business Support, and/or customer service experience.

Other Requirements:

Ability to meet Microsoft, customer and/or government security screening requirements are required for this role. These requirements include, but are not limited to the following specialized security screenings: 

  • Microsoft Cloud Background Check: This position will be required to pass the Microsoft Cloud background check upon hire/transfer and every two years thereafter.

Preferred Qualifications:

  • 3+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and basic administration work.
  • Associate’s/Bachelor’s Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology)
    • OR equivalent experience.
  • 1+ year(s) experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training).

Business Support ATR-C – The typical base pay range for this role across the U.S. is USD $22.79 – $39.66 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $33.03 – $45.91 per hour.
