Job Opportunity: Secondary Division Support Administrator

Role Summary:

This role supports the Secondary Division by managing data and processes related to quotes, invoicing, stock release, debtor management, and online sales platforms (external marketplaces and the internal Sales Re:Works website).

Key Responsibilities:

  • Administrative Support:
    • Accurate data entry and management within the disposal system.
    • Processing rental information for Operations.
    • Maintaining customer records and purchase orders.
    • Managing inter-company transfers.
  • Quoting and Invoicing:
    • Generating and managing customer quotes.
    • Processing invoices and applying surcharges.
    • Managing asset release and delivery.
    • Handling warranty returns and credit notes.
  • Customer Liaison:
    • Providing professional customer service via phone and email.
    • Coordinating with warehouse for asset delivery and collection.
    • Maintaining accurate delivery documentation.
  • Financial Management:
    • Managing debtor collections and processing refunds.
    • Creating purchase orders for warehouse and creditor services.
    • Accrual management.
  • Online Sales Platform Management:
    • Fulfilling marketplace orders and managing returns.
    • Coordinating asset transportation.
    • Providing invoices per portal requirements.
    • Listing assets on marketplaces and the internal Re:Works site.
    • Managing asset returns and inventory adjustments.
  • Short-Term Rental Management:
    • Generating rental quotes and contracts.
    • Coordinating asset delivery and collection.
    • Managing warranty and insurance claims.
    • Managing Variation agreements.
  • Teamwork and Self-Management:
    • Demonstrating accountability and effective time management.
    • Maintaining a positive attitude and responding to feedback.
    • Contributing to team goals and objectives.

Minimum Requirements:

  • Qualifications: Diploma in Business Administration, Financial Management, or Practical Accounting.
  • Experience: Minimum 5 years of business administration experience, including SAP, financial reporting, and debtor management.
  • Skills and Knowledge:
    • Asset-based finance understanding.
    • Basic accounting and numerical skills.
    • Strong communication and relationship-building skills.
    • Excellent administrative and organizational skills.
    • MS Office proficiency (especially Excel).
    • IT industry basic knowledge.
    • Knowledge of systems, processes, and relevant contracts.
    • Problem-solving, results-oriented, and resilient.
    • Ability to work in a team.
