Job Title: Receptionist/Administrative Assistant

Job Summary

The role is responsible for managing reception and switchboard duties, ensuring visitors, clients, and queries are handled efficiently and professionally. Additionally, the role includes general administrative support to ensure smooth daily operations.

Key Responsibilities

Reception & Customer Service:

  • Answer incoming calls within three rings and direct them appropriately.
  • Provide a warm, professional, and courteous welcome to all visitors and callers.
  • Take and promptly email messages when staff members are unavailable.

Office Maintenance Coordination:

  • Arrange and coordinate building maintenance services, including plumbing, electrical, air conditioning, and pest control.
  • Ensure safety documentation is completed for all maintenance work conducted on-site.

Administrative Support:

  • Coordinate conference room bookings, including refreshments and daily schedule printouts.
  • Update telephone lists, dealership lists, and evacuation lists monthly.
  • Maintain an up-to-date Receptionist Manual for easy reference during temporary staff coverage.
  • Order office supplies (paper, stationery, groceries, flowers) while maintaining cost efficiency.
  • Manage procurement tasks, including applying for purchase orders and sending supplier orders.
  • Arrange and track courier services for documents, vehicle keys, and parcels.
  • Ensure monthly updates of evacuation lists and mail collection arrangements.

Qualifications & Experience:

  • Education: Matric (Grade 12).
  • Experience: Minimum of 3 years in a receptionist or administrative role.
