Role Purpose
This role provides business administration and project support within the Office of the Chief Officer: Legal, Risk & Compliance (Chief Officer LRC) while serving as the primary point of contact for the office.
Key Responsibilities
1. Administrative Support
- Manage and prioritize emails in real-time.
- Handle telephone screening and message management for the Chief Officer LRC.
- Welcome and coordinate guest visits.
- Organize and manage the Chief Officer LRC’s calendar, including meetings, appointments, and conferences.
- Proofread, edit, and prepare documents for signature.
- Ensure the Chief Officer LRC is well-prepared for meetings.
- Maintain office management systems, including data storage and filing.
- Provide administrative support during meetings, including accurate minute-taking.
- Compile and consolidate documents for board agenda items, audit committees, and other submissions.
- Coordinate reports requiring input from multiple departments for executive presentation.
2. Budget and Expense Management
- Assist in managing OPEX and CAPEX budgets for the Chief Officer LRC’s cost center.
- Ensure all expenditure documentation complies with company policies and procedures.
- Collect, process, and reconcile tax invoices and receipts for payments.
- Process reconciliations, expense reports, and budget transfers within specified timeframes.
3. Travel Management
- Organize and coordinate local and international travel arrangements.
- Prepare travel itineraries for the Chief Officer LRC.
- Manage all travel logistics, including visa applications, accommodation, flights, meetings, transport, and Forex arrangements.
4. Event Management
- Oversee event planning for all functions hosted by the Chief Officer LRC’s office.
- Handle logistical arrangements for events, conferences, team-building activities, workshops, and seminars.
- Manage venue bookings, speaker confirmations, attendee coordination, agenda preparation, and presentation development.
- Source promotional items and branded gifts as required.
Qualifications & Experience
Education:
- Matric (Grade 12)
- Secretarial Certificate/Diploma (essential)
- Legal certification (advantageous)
Experience:
- 3–5 years of secretarial experience, including:
- At least 1 year supporting a Chief Officer or equivalent in a listed company.
- At least 1 year in a related business unit environment.
- Project management experience.
- Legal PA support experience (advantageous).
Skills & Knowledge
Technical Skills:
- Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, Project) and internet-based tools.
- Knowledge of office management practices.
- Experience in financial administration.
- Familiarity with SAP EVO (advantageous).
- Understanding of project management and coordination.
- Knowledge of IT/Telecommunications (advantageous).
