Key Responsibilities:
- Provide essential administrative support, including minute-taking and coordinating travel arrangements.
- Manage office supplies, ensuring inventory is stocked and maintained.
- Handle procurement, filing, and maintain both digital and physical filing systems.
- Ensure the quality of documents before submission to management.
- Support management with administrative tasks and communication on project initiatives.
- Schedule, coordinate, and document meetings efficiently.
- Address stakeholder queries and maintain strong relationships.
- Answer incoming calls and direct them to appropriate team members.
- Organise and plan company events.
- Oversee the maintenance and operation of company vehicles.
- Collaborate with senior operations on building and equipment maintenance for a clean and safe work environment.
- Coordinate maintenance activities with facility vendors.
- Work closely with IT to resolve equipment issues and ensure technology runs smoothly.
- Monitor asset security and usage.
- Ensure office compliance with safety regulations and protocols.
- Manage archiving and legal storage in collaboration with the Operations Team.
- Participate in capacity-building training sessions.
- Adhere to THINK’s policies and uphold the organisation’s values and ethos.
Requirements:
- A Certificate or Diploma in a relevant field is required.
- A Bachelor’s degree in Business Administration or a related field is preferred.
- Minimum of 2 years’ experience in office administration or operations.
- A valid driver’s license.
- Prior experience in an NGO setting is an advantage.
- Proficient in Microsoft Office Suite.
- Excellent organisational skills and the ability to multitask.
- Strong verbal and written communication skills.
- Ability to work independently with minimal supervision.
- Strong team collaboration skills.
- Familiarity with office management systems and procedures.
