Warehouse & Sales Coordinator

Job Overview

We are looking for a Warehouse & Sales Coordinator to oversee warehouse operations, manage internal sales processes, and provide administrative support to management. The ideal candidate will be responsible for ensuring smooth warehouse functions, efficient stock control, and seamless customer interactions.


Key Responsibilities

Warehouse Management

  • Supervise, train, and develop all warehouse staff.
  • Oversee and coordinate road deliveries.
  • Implement training plans and procedures for warehouse employees.
  • Ensure proper maintenance and cleanliness of the warehouse (internal and external).
  • Promote a clean and safe work environment.
  • Maintain staff attendance and punctuality.
  • Foster teamwork and motivation within the warehouse.

Internal Sales & Customer Support

  • Manage and respond to client inquiries.
  • Record and report all inquiries to management, including their status.
  • Review and ensure accuracy of quotes, maintaining correct company formats.
  • Follow up on issued quotes and track their progress.

Product Knowledge

  • Maintain in-depth knowledge of the company’s products/services, including features, benefits, and pricing.
  • Stay informed about market trends and competitor activities to provide strategic recommendations to customers.

Back-End Sales & Follow-Ups

  • Handle all back-end inquiries daily.
  • Follow up with clients to confirm receipt of quotes.
  • Track and report all inquiries and their status to management.

Stock & Logistics Administration

  • Receive and inspect incoming stock for accuracy and quality.
  • Develop systematic stock storage processes.
  • Conduct weekly stock takes and report findings to management.
  • Ensure sufficient consumables are available for scheduled installations.
  • Review and distribute delivery notes to installation teams.
  • Verify packed stock before deliveries and obtain sign-off from the installation supervisor.
  • Develop and implement a checklist for installations, ensuring proper tracking of equipment.
  • Train installation teams on equipment tracking procedures.
  • Follow up with clients within 24 hours of installation for feedback.
  • Record expenses, including fuel usage.

Executive Support

  • Manage and coordinate directors’ schedules, appointments, and meetings.
  • Handle emails, calls, and correspondence on behalf of directors.
  • Prepare reports, presentations, and relevant documents.
  • Maintain confidential records and company files.
  • Arrange travel, visas, and accommodations for business trips.

Company Assets Management

  • Maintain a register of company vehicles, tools, and heavy equipment.
  • Conduct daily and weekly inspections of tools and report discrepancies.
  • Immediately report any losses or damages to management.

Reporting & Documentation

  • Provide weekly reports on back-end sales inquiries and their status.
  • Conduct weekly stock take reports.
  • Submit weekly operational reports on tools, equipment, and delivery vehicles.
  • Prepare monthly attendance reports for warehouse staff.
  • Document new processes and updates.
  • Report any discrepancies or performance issues to management.

Requirements & Qualifications

  • Proven experience in warehouse coordination, sales support, and administration.
  • Strong leadership skills with experience in staff training and supervision.
  • Excellent organizational and multitasking abilities.
  • Proficiency in Microsoft Office (Excel, Word, Outlook).
  • Strong communication and problem-solving skills.
  • Ability to work in a fast-paced environment and meet deadlines.
