Full Job Description
Key Responsibilities:
- Develop and maintain streamlined office systems to enhance operational efficiency.
- Serve as the primary point of contact between the department and buyers, ensuring smooth communication and coordination.
- Manage office equipment and supplies, ensuring they are well-maintained and organized.
- Compile and prepare monthly departmental reports to monitor performance and identify areas for improvement.
- Schedule daily vehicle collections, ensuring timely and efficient driver coordination.
- Facilitate the onboarding, orientation, and training of new drivers.
- Oversee the procurement and distribution of departmental uniforms.
- Administer driver leave and overtime scheduling to ensure smooth operations.
- Prepare supplier payment requisitions and coordinate with the accounts team to ensure prompt payments.
- Monitor stock levels at vehicle depots to minimize losses and maintain optimal inventory.
- Work with carrier companies to coordinate vehicle loading and transportation timelines.
- Manage time and attendance records, and handle related queries.
- Act as a liaison with HR and Payroll to resolve driver-related concerns.
- Maintain accurate and organized records.
- Support the team with various ad hoc administrative tasks as required.
Minimum Requirements:
- Matric (Grade 12) is essential.
- A diploma or degree in administration or logistics is mandatory.
- Minimum of 2 years’ experience in an administrative role.
- Proficient in Microsoft Office Suite.
- Strong interpersonal and communication skills.
- Ability to prioritize tasks, work well under pressure, and meet deadlines.
- Own reliable transport and a valid driver’s license are required.
- Must be available to work every second weekend and some public holidays.
