Full Job Description

Key Responsibilities:

  • Develop and maintain streamlined office systems to enhance operational efficiency.
  • Serve as the primary point of contact between the department and buyers, ensuring smooth communication and coordination.
  • Manage office equipment and supplies, ensuring they are well-maintained and organized.
  • Compile and prepare monthly departmental reports to monitor performance and identify areas for improvement.
  • Schedule daily vehicle collections, ensuring timely and efficient driver coordination.
  • Facilitate the onboarding, orientation, and training of new drivers.
  • Oversee the procurement and distribution of departmental uniforms.
  • Administer driver leave and overtime scheduling to ensure smooth operations.
  • Prepare supplier payment requisitions and coordinate with the accounts team to ensure prompt payments.
  • Monitor stock levels at vehicle depots to minimize losses and maintain optimal inventory.
  • Work with carrier companies to coordinate vehicle loading and transportation timelines.
  • Manage time and attendance records, and handle related queries.
  • Act as a liaison with HR and Payroll to resolve driver-related concerns.
  • Maintain accurate and organized records.
  • Support the team with various ad hoc administrative tasks as required.

Minimum Requirements:

  • Matric (Grade 12) is essential.
  • A diploma or degree in administration or logistics is mandatory.
  • Minimum of 2 years’ experience in an administrative role.
  • Proficient in Microsoft Office Suite.
  • Strong interpersonal and communication skills.
  • Ability to prioritize tasks, work well under pressure, and meet deadlines.
  • Own reliable transport and a valid driver’s license are required.
  • Must be available to work every second weekend and some public holidays.
