Job Overview
We are seeking a Front Desk Receptionist to manage incoming calls and visitors while maintaining a professional business image. This role also involves administrative support across various departments as needed.
Key Responsibilities
📞 Reception & Visitor Management
- Answer and direct calls efficiently via the switchboard.
- Greet and direct visitors, ensuring they sign in upon arrival.
- Maintain updated employee, company, and department directories.
- Ensure the reception area is clean and organized.
📑 Administrative Support
- Assist all departments, including the Branch Manager, with admin tasks.
- Expedite Syspro purchase orders for Operations & Health & Safety.
- Order and track office groceries, stationery, and refreshments.
- Manage boardroom bookings and coordinate company meetings.
- Arrange meals, snacks, and beverages for clients.
- Book training venues as required.
- Check and update company vehicle First Auto monthly checklists.
- Maintain and update GRN registers, scrap lists, and technician reports.
📌 General Office Duties
- Assist with courier services, notices, and general correspondence.
- Support with filing, assembling documents, and processing invoices.
Qualifications & Experience
- Matric (Grade 12).
- Previous receptionist experience.
- Knowledge of SYSPRO (advantageous).
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
