Job Description

Objectives

Main Purpose of the Role:

  • Provide administrative support to the Data Centre Management and Site Supervisor.
  • Manage calendars, schedule meetings, appointments, and coordinate site access for internal and external personnel.
  • Compile and distribute meeting minutes.
  • Prepare training materials and organizational reports as required.
  • Handle internal and external departmental training.
  • Oversee duty and shift rosters for all teams.
  • Request quotations, raise purchase orders, and process invoices.
  • Manage databases for testing instruments and ensure quarterly/annual calibration.
  • Maintain tools, uniforms, and Health & Safety Registers according to Teraco HSE policies.
  • Track inventory of supplies, tools, PPE, and critical spares, and place orders when needed.
  • Arrange and receive stock shipments between branches and regions.
  • Purchase, manage stock, and conduct monthly stock checks.
  • Print, scan, and upload job cards and documentation into asset management systems, ensuring accuracy and report completion.
  • Follow up with contractors to receive outstanding maintenance and installation documentation on time.
  • Work with the maintenance team and external contractors to ensure the proper upkeep and repair of company assets, meeting standards and objectives.
  • Schedule and oversee site maintenance, both planned and unplanned, and update the maintenance calendar.
  • Review work methods to ensure all service level agreements (SLAs) are met.
  • Supervise daily activities of all teams, ensuring job completion within set timelines.
  • Manage, distribute, and update tickets, ensuring they are closed once tasks are completed.
  • Monitor and dispatch technicians for incoming alarms and call outs during business hours, and follow up on after-hours issues.
  • Notify clients about relevant maintenance, repairs, and outages.
  • Report client-specific incidents that occur on-site.
  • Assist with ad hoc office and facility duties as needed.
  • Update internal communication channels when issues arise.
  • Ensure proper handovers are compiled and followed up on.
  • Coordinate with management to schedule daily, weekly, and monthly installations across all teams.
  • Present weekly ticket status reports to the Data Centre Manager.

Qualifications and Experience:

  • Up to 2 years of experience in office management or administration.
  • A minimum of 2 years of experience in a data centre or related field is advantageous but not essential.
  • Familiarity with data centre operations and critical infrastructure is a plus.
