Customer Support Admin – Lanseria, Gauteng
Job Overview
Airbus Southern Africa (Pty) Ltd is seeking a Customer Support Coordinator to manage customer accounts, process quotations, and oversee order fulfillment. The role requires strong communication, organizational, and problem-solving skills to ensure seamless service delivery.
Key Responsibilities
📌 Customer Account Management
- Acknowledge and process customer requests and quotations, ensuring all pricing aligns with terms, conditions, and company policies.
- Maintain global coordination for pre-assigned customer accounts.
- Provide regular updates to the Customer Support Manager regarding order statuses and modifications.
📌 Order & Quotation Processing
- Handle spares, overhaul, standard exchange, MRO, and repair quotations efficiently.
- Send order acknowledgments and process customer responses, including non-acceptance of quotations.
- Ensure timely invoicing within the correct accounting period.
- Check stock availability and commit stock based on internal processes and customer delivery schedules.
- Coordinate order deliveries upon receipt of goods and issue Goods Received Vouchers.
📌 Customer Engagement & Reporting
- Schedule and attend customer meetings, preparing detailed minutes and reports.
- Respond promptly to customer queries, quotations, and order updates, even during standby hours.
- Submit bi-weekly reports to customers when required.
- Provide maintenance planning support, including scheduling maintenance meetings, tracking charts, spare parts, and updating order statuses.
📌 Administrative & Financial Coordination
- Reconcile sales orders and ensure accurate invoicing.
- Collaborate with the Accounting Department for credit management and account reconciliation.
- Process travel claims, gifts and hospitality registration, and other administrative tasks.
Required Qualifications & Skills
✔ Advanced proficiency in MS Office (Excel), SAP, Sales Force, and OTR Spotfire (advantageous).
✔ Tertiary qualification in a relevant field (preferred).
✔ Strong organizational, communication, and problem-solving skills.
✔ Ability to manage multiple orders simultaneously while prioritizing effectively.
✔ Professional written and verbal communication skills for internal and external stakeholders.
✔ Willingness to work flexible hours and be available for standby duties.
