Direct Reporting Line: Head of Student Recruitment

Institution: Varsity College, Sandton Campus (part of The Independent Institute of Education – IIE)

Role: Admissions Officer

Overview: Varsity College, under The IIE, a leader in private higher education in South Africa, is seeking an Admissions Officer for the Sandton Campus. The IIE is registered with the DHET and accredited by the CHE.

Duties and Responsibilities:

Student Application & Admission Administration:

  • Collaborate with the campus Student Recruitment team to address student admissions queries.
  • Follow up with the Student Recruitment team for missing student information.
  • Evaluate student admissions against set criteria and communicate outcomes.
  • Liaise with the Student Recruitment team during the admission evaluation process.
  • Escalate admission queries to the Admissions Manager.
  • Manage admission waitlists, declined admissions, expired offers, and issuing new offers.
  • Handle documentation management and issuance of admission letters.
  • Determine conditions associated with student admission and follow up on them.
  • Assess the eligibility of students for academic programs.
  • Track student admissions through to registration.
  • Report on admission progress to the Head of Student Recruitment & Sales Operations Manager.
  • Adhere to service level agreements of the admissions process.
  • Coordinate with the Finance department on finance-related admission issues.
  • Ensure campus admission compliance in collaboration with the Admissions Manager.
  • Support national admission projects.

Student Registration Administration:

  • Apply necessary holds on student accounts for outstanding documentation or conditional admissions.
  • Verify registrations against admission criteria.
  • Complete School of Education counselling documentation prior to admission approval.
  • Manage the new student transfer process in coordination with the Head of Student Recruitment, Marketing Assistants, and other stakeholders, and send to the finance department for processing.
  • Process new student SLP & NQP registrations as required.
  • Manage the external credit application process for new students.
  • Check and follow up on the National Senior Certificate (NSC) exception reports weekly.
  • Ensure compliance of international students with documentation requirements.
  • Update reports regularly in line with the International Student Policy/Procedure.
  • Re-audit all registration files in accordance with the Data Verification Report and audit date stipulated by the Registrar.
  • Monitor conditional admissions such as USAF/SAQA qualifications, study visas, and other ad hoc conditional admissions.
  • Adhere to service level agreements of the registration process.

Reporting and Other Responsibilities:

  • Train new student recruitment staff and continuously upskill the sales team as admission criteria/processes change.
  • Communicate with the Assistant Registrar to resolve Registrar-related queries.
  • Comply with POPIA legislation relevant to new student admissions.
  • Perform other ad hoc administrative and reporting duties as required.

Qualifications:

  • Minimum: National Diploma/Advanced Certificate (NQF Level 6)
  • Preferred: Advanced Diploma or Degree (NQF Level 7)

Experience:

  • Minimum 2 years of administrative experience, preferably in admissions

Special Requirements:

  • Driver’s license (where public transport is not available)
  • Willingness to work required ICT shift structure hours
