Administrator (Statutory)

Introduction
SPAR North Rand, a division of The SPAR Group Ltd, is seeking a Statutory Administrator to join its Distribution Centre located in Olifantsfontein.

Purpose of the Position
The role is responsible for establishing and maintaining securities for new businesses and changes in ownership for SUPERSPAR, SPAR, TOPS, SPAR Pharmacy, and their related administration processes.

Key Responsibilities

  • Collaborate with the Retail Operations department on new businesses and store ownership changes.
  • Engage with prospective retailers regarding SPAR’s security requirements for new business ventures.
  • Prepare security documentation required for credit assessments conducted by the Credit Manager.
  • Oversee the drafting, signing, and registration of security documents, including Notarial Bonds, Bank Guarantees, Funds in Trust, Suretyships, and option agreements.
  • Coordinate with service providers to conduct credit checks and due diligence on retailers per company policy.
  • Manage the end-to-end new business process from application to registration, ensuring all securities are lodged, registered, and completed.
  • Open and close accounts in AS400/SAP/BPM, including North Rand trans-shipment accounts.
  • Provide weekly progress updates on new accounts or changes.
  • Maintain and update the securities database on SAP and other systems.
  • Collect and report on wine and liquor licenses annually.
  • Facilitate the signing of Central Office loan and security documents.
  • Securely manage and safeguard all security documents.
  • Perform annual and ad-hoc credit reviews as required.
  • Assist in preparing litigation packs when necessary.
  • Maintain and organize customer files.

Desired Skills and Qualifications

  • Education: Matric certificate; post-matric qualification in Commerce or Law preferred.
  • Experience: Paralegal, securities, or credit management experience advantageous.
  • Strong attention to detail and accuracy.
  • Excellent interpersonal skills with the ability to liaise with diverse stakeholders.
  • Strong organizational and time management abilities.
  • Analytical mindset with the ability to meet strict deadlines.
  • Proficiency in negotiation and litigation processes is an advantage.
  • Technical Skills: Intermediate proficiency in Excel and Word required.
  • Familiarity with securities and their execution is essential.
